Registration and Payment
What does the registration fee include?
Registration fees include access to conference sessions, posters, special sessions, social events, networking events, and hosted meals. Hosted meals are those included in the agenda.
Can registration fees be prorated if an attendee cannot stay for the entire conference?
FASEB does not prorate registration fees.
What payment types are accepted?
Accepted payment methods for registration fees are Visa, MasterCard, American Express, and bank transfer. Purchase orders are not accepted. Conference fees paid by bank transfer will be subject to an additional $50 processing fee. All fees collected by FASEB are listed and collected in U.S. dollars. See the Other section at the bottom of this FAQs page for FASEB’s wire transfer information.
What is the Cancellation Policy?
To cancel, participants may log into the conference website and cancel through the system or may cancel in writing by the cancellation deadline; both are subject to a $150 fee. Post-deadline cancellations are usually non-refundable, but visa-related cases will be considered individually.
How can attendees make an update to their registration record?
Any registration updates may be made online by the participant. Participants may sign into their registration record by using the sign-in link on the conference webpage.
Where can attendees find a copy of their payment receipt?
Confirmation of any payments will be emailed to participants. If you have not received your confirmation email, please email us. Add the following domains to your trusted sender list: cvent.com, cvent.me, cvent-planner.com, cventmail.com, and add the IPs for general product use to ensure emails get delivered.
Why does FASEB require an ORCID ID during registration?
FASEB, like many organizations, funders, and publishers, requires ORCID for authors, reviewers, presenters, and other stakeholders. Creating an ORCID ID allows FASEB to disambiguate individuals who have the same or similar names. It also allows FASEB to update your ORCID account so you can clearly track and obtain credit for your work and accomplishments.
Abstracts and Posters
Who should submit an abstract for the conference?
Invited speakers must submit an abstract or a talk summary before the abstract submission deadline. Other participants may submit an abstract by the abstract submission deadline to be considered for a poster session and/or a short talk. To submit an abstract, follow the prompt during registration and use the provided template. To submit abstracts after registration, use the sign-in link under the Register Now button on the conference webpage, then click the Modify Registration button.
Will all abstracts be presented as posters?
Authors of abstracts will present a poster at the conference during the poster session. Poster presentation guidelines are available via the conference website.
How will an author know if their abstract was accepted for a short talk?
If an abstract is selected as a short talk, the author will be notified about 30 days before the conference. The author will also be expected to present a poster onsite during the poster sessions.
Will conference abstracts be published?
FASEB SRCs will make available abstracts to fellow conference registrants. The SRCs will not publish all abstracts; but for those conferences with on-demand registration post-event, the abstracts for presenters (keynote, invited, or short talks) will be made available alongside the recordings. We encourage FASEB SRC attendees to consider also publishing your research in one of our two prominent journals, The FASEB Journal or FASEB BioAdvances. Awards and Reimbursements
How can an attendee apply for a travel award?
The specific conference website will list any details on available travel awards. Please apply via the instructions listed on the conference website. FASEB works with the conference organizers to allocate and distribute awards. Contact us for more information.
When will attendees receive information about travel awards/registration reimbursements?
If a participant is selected for a travel award or registration reimbursement, the participant will be notified a few weeks after the conference. Participants are encouraged to keep records of all receipts and submit them in a single pdf through the official portal.
How may a participant receive reimbursement after the conference?
Participants who are chosen for reimbursement will be issued a refund via electronic transfer through BILL.com.
What if participants need to provide registration receipts to their own institutions for reimbursement purposes?
Registration receipts are a part of your confirmation email. Send a request if you need anything specific on the registration receipt for your institution.
How can an attendee receive an official certificate of a poster award?
The links to official certificates will be provided at the end of the conference. Participants may also contact us.
Travel Visas
Where can participants best find visa information?
Participants should contact their local embassy or consulate regarding visa eligibility questions.For visas for SRCs held in the United States, The National Academies of Sciences, Engineering, and Medicine's International Visitors Office (IVO) has a checklist to assist in preparing for the Visa Questionnaire. Note that once you have scheduled an appointment, you may contact the IVO for help expediting your appointment.
How can a participant request a visa letter to attend a conference?
During registration, participants have an opportunity to request a visa letter, which will be sent to them once registration is completed.
If attendees are denied a visa, can they receive a registration refund?
Email cancellation requests by the conference cancellation date. Cancellation requests received by this date will receive a full refund minus a $150 processing fee (excluding VAT, if applicable). Refunds after the cancellation deadline, due to the inability of a registrant to obtain a visa, will be evaluated on a case-by-case basis, and may require the submission of additional documentation.

What are the FASEB Conferences On-Demand?
FASEB Conferences On-Demand provide online access to videos made of the keynote, invited, and oral presentations at FASEB Science Research Conferences.
Why are SRCs providing an on-demand option?
FASEB’s motivation for providing an on-demand option is to increase accessibility for undergraduates, graduates, postdocs, and researchers who are unable to attend meetings in person. Certain individuals interested in attending may be prohibited due to a variety of reasons including financial (rising costs of travel), personal or professional conflicts during the conference time, and in some cases, required additional support such as closed captioning. We also are committed to sustainability and recognize that on-demand registration and attendance can meet this growing need in our global community. Further, as costs continue to increase for in-person attendance, any revenues FASEB brings in from the recordings that are beyond the costs we incur would be delivered back into the community and conferences to support and keep costs affordable for researchers and students.
What advantage do presenters have by participating in the recordings?
Participating in recordings supports accessibility by researchers and students unable to attend. It can also allow your research to reach a broader audience, have a greater impact, provide enhanced discoverability, and bring new networking opportunities.
Which SRCs will be available on-demand?
FASEB will strive to make as many conferences on-demand as possible. However, there is a chance that not all SRCs will be able to participate if the operational infrastructure does not allow it.
What SRC content will be available as part of FASEB Conferences On-Demand?
The keynote, invited, and oral presentations will be recorded, both the video of the speaker and the video of the slides presented. Alongside each presentation, closed captioning will be made available to support accessibility needs. The open questions and answers at the end of a presentation will not be recorded, nor will posters or other types of activities.
What rights do I retain for my work as a presenter when I opt in for the recordings?
As a presenter, you and your co-authors own the research, findings, data, slides, ideas, facts, identity, and all the related proprietary and copyrights. You are not limited in your rights by participating in the recording any more than you would be by giving an in-person presentation.
What if I do not wish to participate in the recordings?
While we strongly encourage that you participate in recordings to support our efforts at improving accessibility, we respect your right to opt-out should you choose to do so. During the registration and abstract submission process, there is a new brief section focused on recordings, and all presenters will have the opportunity to opt in and out of participating in recordings at that time.
How and when can someone register for and access FASEB Conferences On-Demand after the SRC ends?
FASEB Conferences On-Demand is available for registration and access on an individual conference basis, or you may register for the collection of all on-demand conferences on a full 5-year basis at FASEB Conferences On-Demand. FASEB aims to have registration and access to On-Demand Conferences within a few weeks after the in-person conference. Registration allows users to access the on-demand content for 1 full year.
If I attend a FASEB Science Research Conference in person, will access to the conference On-Demand recordings be included in my attendance package?
To keep in-person attendance costs at conferences affordable, the On-Demand recordings are a separate package. However, as an in-person conference attendee, you will be able to access your conference’s On-Demand videos (where available) at a discount.
Can viewers of FASEB Conferences On-Demand download the videos?
Videos are available to be viewed within the platform but cannot be downloaded or modified by viewers.

How do participants make lodging arrangements?
Each conference webpage provides information on conference room rates and booking instructions. Participants make and pay for their lodging arrangements separately from registering for the conference.
Can attendees take pictures at the conference?
FASEB conferences do not permit photography or the electronic capture of any sessions that are part of the conference agenda without the explicit consent of the presenting author(s), organizers, and FASEB conference staff. FASEB DOES permit recording/photographs of conference-related activities that do not include proprietary materials. Please mute all cell phones and other electronic devices during sessions.
Do conferences provide child or family services?
FASEB does not provide childcare or family care services. Participants are encouraged to check local resources such as the hotel for referrals. Additionally, there may be conference-specific awards available to assist with childcare, please visit the conference webpage.
What if a participant has an accessibility request to fully participate?
Accessibility requests may be noted during the registration process or by email. FASEB may not be able to accommodate requests made too close the conference dates.
